Corporate Relocation and Employee Moves

If your employer is paying, some of the rules change: who pays, which documents they need and how firm your dates are. Knowing the policy first prevents a surprise bill later.

Your route

Moves that cross a state line only. No obligation.

For employees: ask these first

  1. Is there a cap, a lump sum or direct billing?
  2. Does the company have a relocation management firm or required vendors?
  3. Do you need several written estimates? Who has to approve them?
  4. Which services are covered: packing, storage, temporary housing, travel?
  5. What are the tax consequences? Under current federal law, most employer moving reimbursements are treated as taxable income for most employees, so ask whether your employer "grosses up" the amount. Your tax professional can advise you.

For HR and mobility teams

If your company is planning individual relocations or a group move to or from Chicago, send us details through the form on this page and note that it's a company move. We'll respond with what we can do and the documents we'd need. Federal registration status appears on our registration page, and you should check it as part of vendor approval.

Working around start dates

Corporate moves often have an immovable first day of work. A wide delivery window can leave you in temporary housing, so consider a dedicated truck or plan for storage if housing isn't settled.

What the paperwork should show

A written estimate should separate transport, packing, storage and valuation, which makes reimbursement cleaner. Keep your bill of lading, inventory and final freight bill for expense reports.

Questions

Can you bill my employer directly?

Tell us what your employer requires when you send the form, and we'll confirm whether we can do it.

How many estimates do I need?

That depends on your company's policy. Many ask for two or three written estimates.

Are moving expenses tax deductible?

For most people, not at the federal level under current law, with an exception for certain active-duty military moves. Ask a tax professional.
